ClickUp is popular for small to large teams for getting things done in one platform.

How does ClickUp work?

ClickUp manages your projects, documents, and whiteboards in one location.

This allows you to coordinate better with other people as you have the majority of the tools required for team collaboration in one place.

It is known for being a hub for your projects. Many people say that ClickUp is quite intense when they get started because there's so much under the surface, including more minor features for individuals planning their projects to use and managing their workload. However, as a whole, ClickUp is a team collaboration tool with many tools housed in one.

What features does ClickUp have?

Let's examine ClickUp's core features and explain why they can help you complete more work:

Features

Helpful for?

Project Management

Collaborating on projects with multiple views. Choosing between Gantt charts, Kanban, timelines, and more allows you to see projects in a wide variety of layouts that people find very helpful for expressing projects how they best like.

Task Management

Unlimited tasks are a staple of ClickUp allowing anyone, even one person, to add tasks to the system and plan. Task management also has all the brilliant viewing features of project management allowing you to customize views with filters, sorting, and workload management.

Team Chat

One of the bonus features that a lot of teams love in ClickUp is team chat. Team chat allows for better ways to collaborate on projects by allowing a tab per project or space you work in inside the tool for easier and smarter collaboration. It also has across projects, and tasks, and features the ability to leave and collaborate in comments with your team.

Whiteboard Collaboration

Bring ideas to life with Miro-like collaboration around your visuals. Add images, media, and even ClickUp projects and tasks inline, this is a popular feature for those who want to bring everything in one more visual view for better collaboration.

Documents

Documents aren't missed out in the ClickUp app, a lot of people look to to tools like Slite and Notion as a go-to internal wiki or second brain for the team. But this has that within the platform where you can backlink and bring in important references across your account. Great for documentation.

Dashboards

As part of the unlimited plan and beyond, you can create dashboards with the data you have as part of your ClickUp. This makes it perfect for those sales teams or meetings where you want to zoom out on the integrations that you have as part of the platform. Perfect for meetings & ongoing tracking of projects.

How do ClickUp Docs work?

ClickUp documents provide a convenient way to create and share documents internally or externally. They are built around a wiki, enabling your team to collaborate and consolidate all the knowledge they are working on.

ClickUp documents are enhanced by a feature called ClickUp AI Brain, which allows you to ask questions and find information without manually searching through documents. This helps your team index valuable knowledge.

You can embed tasks, projects, boards, and other elements from your ClickUp account directly into the document, making collaboration easier and ensuring that documents stay updated with your team's latest information. The interface is user-friendly, and you can also import content from Confluence, a popular application, saving time and effort in consolidating knowledge.

ClickUp Pros & Cons

Time to zoom into the things we noted that we liked or didn't like about ClickUp:

Advantages

Reasons

Dashboards

Many project management tools lock their dashboard features away within their most premium pricing options. This isn't the case here, as you can use this within the unlimited plan and start managing dashboards which unlock that constant zoom-out option for teams working on big projects together.

Large Investment

One of the largest investments came in their Series C round with $400M coming in. This is very clear that ClickUp wants to build their platform into a powerful tool for the masses, and one that allows you a little bit of faith that they have the money to do this and build onto their software.

Chat & Documents

Beyond project and task management, it offers a way to start documents, chats, and whiteboards - all layers to the experience that just give it that stand out from other more simplistic project management tools on the market.

AI Brain

Continuing their efforts with AI has been one of the core focuses for ClickUp allowing them to build something called AI Brain - which extracts and establishes important roadblocks to projects, valuable insights from documents, and tasks that might need assisting on. This is a good thing to have as AI will be the future opportunity in project management as teams look to get a competitive advantage.

Disadvantages

Reasons

Overwhelming

For many people, opening ClickUp can be more daunting than opening Notion. It has a lot of features and a lot of complexities that some people don't like. For example, understanding hierarchies and features can feel overwhelming, and also under-utilizing the tool. This for smaller teams might not be ideal, but medium-sized teams can adapt more to this.

How much does ClickUp cost per month?

ClickUp has a generous free plan and premium options for teams:

Plans

Pricing

Basic

Free with limits

Unlimited (Annual)

$7 per month

Business (Annual)

$12 per month

Is ClickUp free?

Yes, ClickUp offers a free plan with limits like 100MB of storage per workspace.

Is ClickUp Worth It?

This project management tool is everything and more for many people.

This is one of ClickUp's pros and downfalls. For people who want an all-in-one experience, managing chat, documentation, and timesheets all in one location is a game-changer. It helps reduce switching between apps and, for teams, the costs involved in managing multiple services.

What you typically find with ClickUp is that it'll do the majority of features outside of project management, 80-90%. This is good, but for many, it leaves them needing more abilities that tools that specialize in the area might be better to use.

ClickUp is likely one of the best, most flexible bases for your workload. For many millions, it has become the home of their collaboration as versatile, customizable project management software despite the need to learn it.

Is ClickUp right for me?

For many, it will be a tool they can shape and mold.

We'd recommend it for teams that want something flexible and powerful and individuals who want to plan their tasks in a project management capacity.

Is ClickUp Right for You? Here's My Take

As someone who’s used ClickUp for over two years—both personally and professionally—I can confidently say it’s a productivity game-changer. As a productivity consultant (and let’s be honest, a bit of a tool enthusiast), I’ve tested countless apps to find the best digital tools for my clients. ClickUp consistently rises to the top. ClickUp isn’t just about managing tasks; it’s an all-in-one workspace that adapts to virtually any industry or workflow. Whether you’re in manufacturing, software development, or publishing, its flexibility is hard to beat. • Multiple Views: Choose from Kanban boards, Gantt charts, calendars, workload views, or even maps to visualize your projects. • Dashboards and Reporting: Keep an eye on team performance and progress with customizable dashboards. • Collaboration Tools: Use whiteboards, in-app chats (bye bye Slack!), and integrated documents for seamless teamwork. • Built-In Automations: Save valuable time by automating repetitive tasks directly in ClickUp. • AI Assistance: ClickUp AI helps you write, analyze, and retrieve information faster, reducing cognitive load. ClickUp also connects with many other apps making it simple to centralize your workflows. This means less time toggling between apps and more time focused on getting things done. Why I Recommend It to Clients ↓ For many of my clients, scaling their businesses often means finding a tools that blends flexibility with structure. ClickUp delivers on both fronts by enabling teams to: 1. Design your workspace to match your team’s unique needs. 2. Track and manage tasks across departments with ease. 3. Save time with automation and real-time collaboration. Yes, ClickUp’s extensive features can feel overwhelming at first. But once you invest the time to understand its potential, the ability to supercharge your workflows is undeniable. If you’re exploring productivity tools, give ClickUp a try—it might just be the system your team has been waiting for.

Head of Project (PMO)

The Best Project Management Tool, Period.

I've (International Project Manager / Head of Project / PMO) deployed this tool as a project management platform within my company (5 business-units wide, 300 FTE strong, tech sector). That was 5 months ago and we could never go back. It has many features (which you can toggle on or off on company or department level) and once people have adopted the way of working, it truly is a productivity tank. So in essence if you have a dynamic company or team with your specific business processes and flows that are not suitable to map into clear cut tools like Monday or Asana, but need a flexible tool that you can tailormade yourself, look no further! ClickUp is handsdown the best tool that fit most usecases (and if not, you have all the possibilities to make it so ;-) Very satisfied and a big fan! For anyone still wondering, feel free to shoot me a message!

Feature-rich and accessible

ClickUp has a lot of features that I don't use all, but I appreciate that it's there and it's not obstructive. It can get overwhelming sometimes with the modern features, so you kinda get lost in tweaking different tasks and settings. I love using it on my MacBook, iPad, and phone. Really accessible anywhere really.

Improving constantly and listening to the community.

I've been using ClickUp as a personal productivity tool for a while now, and it's been improving as more time goes by. Performance seems a lot smoother especially for the Windows Desktop app. You do however still need to refresh from time-to-time to for your updates to display, especially on the calendar. There are some features that just go un-used such as the whiteboard. They've just released a new version of their whiteboards which makes things better, but there's still a way to go. Once you understand how to customise the tool - such as using custom fields, statuses, task types - it really opens up the application for any use. They do weekly updates and are listening to the community, so there's a good future with ClickUp if they keep up the momentum. They have a YouTube channel as well that has short explanations and tutorials of their features, and a facebook page that seems active.

The best replacement for Jira

It’s robust app. All the features that you will need, no matter in which position you are right now. It can be overwhelming with all the options, but still better than Jira.
